      Your Impact

      As an Administrative and Accounting Coordinator, you will work closely with Executives, Directors, Owners, Designers, and Subcontractors, fostering a collaborative work environment, building stronger relationships, and promoting the W.E. O’Neil brand. Some of the ways you will apply your experience to this role include:

      • Reaching out to potential subcontractors to obtain the required documentation to complete prequalification.
      • Processing annual renewals of prequalification information for existing subcontractors.
      • Maintaining a database & log of all prequalified subcontractors.
      • Working closely with project teams to ensure all contractors starting on new projects are prequalified.
      • Researching best practices for implementation of new methods/software to enhance & improve existing prequalification procedures.
      • Process CO6 payable invoices and expense reports.
      • Process project payable invoices (vendor invoicing)
      • Reconciling accounts payable statements (Vendor and Subcontractor)
      • Supporting oversight of accounts receivable.
      • Assisting the Accounting Manager in support of Project Managers in all aspects of monthly draw processing.
      • Managing tax-exempt certificates.

      Job Specifications

      • A 4-year college degree is preferred.
      • Experience with QuickBooks and Microsoft office suite.
      • Accounting experience (1-3 years), and strong administrative skills.
